Terms of Service

Please read these Terms of Service ("Terms") carefully before using signuphaven.com (the "Service") operated by Signup Haven ("us", "we", "our"). By accessing or using the Service, you agree to be bound by these Terms.
1. Acceptance of terms
By creating an account or using the Service, you confirm that you are at least 18 years old, have read and understood these Terms, and agree to be bound by them. If you are using the Service on behalf of an organization, you represent that you have authority to bind that organization to these Terms.
2. Description of service
Signup Haven provides a web-based platform that allows organizers to create volunteer signup events and allows volunteers to claim slots at those events. The Service includes event creation tools, slot management, volunteer coordination, payment collection, waitlists, email and SMS reminders, recurring series, custom questions, and billing features.
3. Accounts
Organizer accounts require a valid email address and password. You are responsible for maintaining the security of your account credentials and for all activity that occurs under your account. You agree to:
- Provide accurate and complete information when creating your account
- Notify us immediately of any unauthorized use of your account
- Not share your account credentials with others
Volunteers do not need to create accounts. When a volunteer provides their name and email to claim a slot, they consent to receiving transactional emails related to that event. If a volunteer also provides a phone number and opts in to SMS reminders, they consent to receiving text messages related to that event only.
4. Acceptable use
You agree not to use the Service to:
- Violate any applicable law or regulation
- Send spam or unsolicited commercial communications
- Collect personal information from volunteers for purposes unrelated to event coordination
- Use custom questions to collect sensitive personal data beyond what is necessary for your event
- Impersonate another person or organization
- Attempt to gain unauthorized access to any part of the Service
- Use the Service for any fraudulent or illegal activity
5. Subscriptions and billing
The Service offers both free and paid subscription plans. Paid plans are billed monthly or annually in advance.
- Free: First 2 events free, 25 slots per event. Unlimited volunteers. No credit card required.
- Starter plan: $7.99/month or $83.88/year. 5 active events, 50 slots per event. Includes payment collection, waitlists, SMS reminders, custom questions, and slot locking.
- Pro plan: $14.99/month or $155.88/year. Unlimited events and slots. All Starter features plus volunteer hours tracking and priority support.
- Organization plan: $35.99/month or $383.88/year. All Pro features plus up to 10 organizer seats, white-label signup pages, shared event library, and dedicated support.
All subscription payments are processed by Stripe. By subscribing to a paid plan, you authorize us to charge your payment method on a recurring basis. Subscriptions automatically renew unless cancelled before the renewal date.
You may cancel your subscription at any time through the billing portal in your account settings. Cancellation takes effect at the end of the current billing period. We do not offer prorated refunds for unused time, except where required by law.
6. Content and data
You retain ownership of all content you create on Signup Haven (event titles, descriptions, slot information, custom questions). By using the Service, you grant us a limited license to store, process, and display your content solely to provide the Service.
You are responsible for ensuring that any personal information you collect from volunteers through the Service complies with applicable privacy laws. You must not collect more information from volunteers than is necessary for event coordination.
7. Volunteer data
Volunteer names and email addresses collected through signup pages are owned by the event organizer and processed by Signup Haven as a data processor. Volunteer data may only be used for purposes related to the event for which it was collected. You agree not to add volunteer email addresses to marketing lists, sell them, or use them for any purpose other than event coordination and communication.
8. Service availability
We strive for high availability but do not guarantee uninterrupted access to the Service. We may perform maintenance that temporarily affects availability, and we will provide reasonable notice when possible. Signup Haven is not liable for any loss or damage resulting from service unavailability.
9. Termination
We reserve the right to suspend or terminate your account if you violate these Terms, engage in fraudulent activity, or otherwise misuse the Service. We will provide notice where reasonably possible.
You may delete your account at any time by contacting support@signuphaven.com. Upon deletion, your data will be removed in accordance with our Privacy Policy.
10. Disclaimer of warranties
THE SERVICE IS PROVIDED "AS IS" AND "AS AVAILABLE" WITHOUT WARRANTIES OF ANY KIND, EXPRESS OR IMPLIED. SIGNUPHAVEN DOES NOT WARRANT THAT THE SERVICE WILL BE UNINTERRUPTED, ERROR-FREE, OR SECURE. YOUR USE OF THE SERVICE IS AT YOUR OWN RISK.
11. Limitation of liability
TO THE MAXIMUM EXTENT PERMITTED BY LAW, SIGNUPHAVEN SHALL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, INCLUDING LOST PROFITS, ARISING OUT OF OR RELATED TO YOUR USE OF THE SERVICE. OUR TOTAL LIABILITY TO YOU FOR ANY CLAIM SHALL NOT EXCEED THE AMOUNT YOU PAID TO US IN THE 12 MONTHS PRECEDING THE CLAIM.
12. Changes to terms
We may update these Terms from time to time. We will notify account holders by email of material changes at least 30 days before they take effect. Continued use of the Service after the effective date constitutes acceptance of the updated Terms.
13. Governing law
These Terms are governed by and construed in accordance with the laws of the United States. Any disputes arising under these Terms shall be subject to the exclusive jurisdiction of the courts located in the United States.
14. Text-message program (SMS)
Program name: Signup Haven volunteer reminders.
Program description: If you provided your phone number and ticked the "Send me SMS text reminders for this event" checkbox on a public signuphaven.com signup page, you consented to receive automated, transactional text messages from Signup Haven relating to the volunteer event(s) for which you signed up. Messages may include reminders 48 hours before, 24 hours before, and on the day of your scheduled shift.
Message frequency: typically up to 3 messages per event you sign up for. You will not receive marketing or promotional messages from this program.
No mobile information (including phone numbers and SMS opt-in consent) will be shared with third parties or affiliates for marketing or promotional purposes. Phone numbers are shared only with Twilio for the sole purpose of message delivery.Message and data rates may apply. Your mobile carrier's standard message and data rates apply to every message sent to and received from Signup Haven. Mobile carriers (including but not limited to T-Mobile, AT&T, and Verizon) are not liable for delayed or undelivered messages.
For help: reply HELP to any message, or email support@signuphaven.com for assistance.
To opt out: reply STOP to any message at any time. You will receive one final confirmation message and no further text messages will be sent from this program. You can re-subscribe later by signing up for another event and ticking the SMS opt-in checkbox again.
